1. Benefits of Template Workflows

In Getfly CRM, template workflows are pre-defined sets of frequently repeated tasks that help users save time when setting up work processes.

Using template workflows provides several advantages:

  • Save time and reduce costs: Businesses can use pre-built templates instead of creating new workflows from scratch. This helps minimize the effort and resources required to establish standardized processes.

  • Enhance efficiency and productivity: Workflows ensure tasks are executed in a consistent and structured manner, increasing both operational efficiency and overall productivity.

  • Minimize errors: By following standardized steps, businesses can reduce the risk of errors during task execution—helping maintain quality and reduce potential risks.

  • Improve team collaboration: Templates facilitate better coordination between departments, ensuring that projects are delivered on time and within budget.

  • Simplify management: Template workflows streamline the management of business operations, making it easier to track progress and optimize resources.

2. How to Add, Edit, or Delete a Template Workflow

2.1. Add a New Template Workflow

You can create a new template in two ways:

Method 1: From an Existing Task

Step 1: Click into the task details of an existing job you want to convert into a template. Step 2: Select More OptionsCreate Template Workflow. The system will open the Create Template Workflow screen.

Step 3: Fill in the template details:

  • Workflow name

  • Category

  • Description

  • Workflow image

  • Sharing settings

  • Content review

Step 4: Click Save to complete template creation.

Method 2: From the Template Workflow Screen

Step 1: Go to the Template Workflow screen → Choose the category where you want to add the new template → Click Create Workflow.

Step 2: Fill in the workflow details:

  • Workflow name

  • Description

  • Workflow image

  • Sharing settings

  • Task details: task name, content, assignee, participants, related customer, start and end time. You can also add or remove subtasks. Additionally, bulk assign assignees, participants, or related customers.

Step 3: Click Save to finish creating the template.

Note:

If a task includes attachments or related customer info, these will automatically be carried over to the template.

It's recommended to outline the process beforehand to avoid missing steps.

You can also add new subtasks (and assign roles within them) while creating the template.

If the required category doesn't exist, you can create one using the Add Category feature.

2.2. Edit a Template Workflow

Step 1: Click on Template Workflow → The system displays the list of existing templates → Select Edit to modify the workflow.

You can:

  • Change parent-child categories or rename them.

  • Update task details: assignee, participants, related customers, start and end times.

  • Add or delete subtasks.

  • Assign users individually per task or apply bulk selection for related fields (assignee, participants, customers).

2.3. Delete a Template Workflow

Step 1: Click on Template Workflow → The system displays the list of templates → Select Delete to remove the desired template.

You can delete:

  • Entire categories.

  • Individual workflows within a category.

3. Managing Template Workflows

Step 1: Click on the Tasks icon (F9) → Select Template Workflow. The screen will show two panels:

  • Workflow Templates

  • Add New Task from Template

Step 2: Choose a template you want to use.

Step 3: Adjust relevant information as needed:

  • Content

  • Assignee

  • Participants

  • Related customers

  • Start and end date

  • Add or remove subtasks

Step 4: Select a project and click Complete.

The system will generate a new task based on the selected template.

Note: If the new task includes customer information or file attachments, you’ll need to add these manually within each task after generation.
