1. Benefits of KPI G Version

The new KPI module in Getfly CRM 6.0 offers a range of benefits for users, including:

  • Enables each employee and department to clearly understand their goals and roles in contributing to the overall objectives of the business.

  • Allows managers to easily monitor and evaluate individual and departmental performance, thereby making informed decisions on rewards, training, or performance improvements.

  • Each individual is assigned a clearly defined KPI set, ensuring transparency in performance evaluation and providing a roadmap for career progression to the next level.

  • The implementation of KPI frameworks based on levels and job titles makes it easier for the company to manage and adjust KPIs according to real-world needs, and to remain agile when adapting to business strategy changes.

2. KPI Permission Setup

To grant permission for users to assign KPI targets in Getfly CRM, navigate to Settings -> select Permissions -> choose the permission group to be updated -> check the KPI-related permissions.

Note: Default accounts can only view their individual KPI records.

3. Creating a New KPI

3.1. Create New Job Title

To create a new job title, go to Settings → System Configuration → KPI Configuration → select Job Title Configuration → click Add New.

The "Add New" screen will display as follows:

Job Title Name: For example, Customer Service Staff, Sales Staff, etc.

Level Setup:

No: Job titles without levels, showing only a single job title.

Yes: Job titles with levels, where each job title can have up to 10 levels (e.g., Customer Service Staff level 1, level 2, level 3...).

After creating the job title, assign it to the relevant user accounts. Go to Settings → User Management → select Edit Account → update the Job Title and Level.

Job titles are used for creating KPI records. Multiple accounts can be assigned to the same job title.

3.2. Create a New KPI Record

To create a new KPI, go to KPI → select KPI G Version → click Add New.

Step 1: Choose KPI Targets

KPI Name: Assign a name for the KPI record (e.g., KPI for Customer Service Department, KPI for Sales Department, etc.).

Job Title Name: Select previously configured job titles. This will display the users assigned to the selected job title.

KPI Target Setup:

Select Default KPI Template: Display default templates from the system and any templates you've created.

Add KPI Target: Create custom KPI targets according to your needs.

Step 2: Set Values

Application:

Apply values to all months: Automatically generate KPI records for the remaining months of the year (not for past months).

Assign specific values to selected months: Generate KPI records only for selected months (not for past months).

Select Year: Choose the year for application.

Set Targets for Each User: Set specific targets for each level and user for the selected months.

Step 3: Testing

Choose the timeframe for retrieving data for testing the figures.

Step 4: Finalization

Once the testing is completed and the data aligns, click Complete Setup to finalize the KPI.

3.3. KPI Record Details

To view KPI record details, go to KPI → select KPI G Version → click the KPI record name to view details. The KPI record detail screen will display as follows:

Action Area in KPI Record Detail:

Edit: Modify previously set targets.

Recalculate KPI: Recalculate the entire record if any information is incorrect.

Download: Download the viewed KPI record.

Current Status:

On: Activate the KPI record.

Off: Deactivate the KPI record.

View Finalized Data:

Off: Displays the current data in the running KPI record.

On: Displays finalized data. If the record is not finalized (both manually and automatically), it will appear blank.

Employee KPI List: View detailed KPIs of individual employees by clicking View Details.

The record will include specific KPI targets for employees, along with the KPI history and actions like:

Edit KPI

Finalize KPI

Update actual values for manually entered targets.

3.4. KPI Record Management

For Manager Accounts: Go to KPI → KPI G Version, the screen will show all KPI records in the system, with the newest records listed at the top. The default display shows records that are currently active.

For Employee Accounts: Go to Account Avatar → Personal KPI G Version, the screen will show the details of the personal KPI record.

The system displays the list of KPI targets assigned to you. Additionally, there is a View Next Level button, which allows you to check the KPI targets for the next level to help plan your goals and objectives more effectively.

4. Key Features of KPI G Version

Allows setup by job title, with each job title having a common set of targets. Job titles can have multiple levels, with each level having different target workloads, which reduces the number of KPI records to set up in the system.

Allows customization of targets for each person based on their level.

In Personal KPIs, you can preview the target information for the next level, which helps in planning and achieving future goals.

Each individual can only have one KPI record at a time, avoiding overlap in KPI assignments.
