2. Quotation Permissions

To create and manage quotations, users must be granted specific permissions, which include:

Access Sales: Permission to access the sales feature.

Access Quotations: Permission to view the quotations section under Sales.

Create New: Permission to create new quotations in the system.

Edit: Permission to edit existing quotations.

Delete: Permission to delete created quotations.

Approve: Permission to approve created quotations (if quotation approval workflow is enabled).

View All: Permission to view all quotations in the system.

3. How to Create, Edit, Delete, and Approve Quotations

3.1 Creating a New Quotation

To create a new quotation:

Access: Getfly CRM → Sales → Quotation → Add New.

Enter required information:

Customer Information: Select the customer for whom the quotation is created.

Quotation Information:

Quotation Code: If your company doesn’t require a specific code, it can be left blank, and the system will generate one automatically.

Creation Date: The system will automatically record the quotation creation date.

Responsible Person: The person creating the quotation will be automatically assigned.

Quotation Iteration: The number of times a quotation has been created for the same customer.

Quotation Description: Notes about the terms or details of the quotation.

Project: If the quotation is related to a specific project, select the project.

Quotation Content: Detailed terms of the quotation.

Products: Select products for the quotation, you can choose one or more products, and apply discounts to individual products.

Payment Information: The total amount for the quotation, including discounts and VAT.

Save the Quotation: After entering all the necessary details, click Add New to save the quotation in the system.

3.2 Editing a Quotation

To edit a quotation:

Go to the quotation detail screen.

Click Edit and make any necessary changes.

Save the changes after editing.

3.3 Approving a Quotation

After reviewing all the quotation details:

Go to the quotation detail screen.

Click Approve to confirm the quotation and proceed with the next steps for the quotation.

3.4 Deleting a Quotation

To delete a quotation:

Go to the quotation detail screen.

Click Delete and confirm the deletion.

Deleted quotations will be moved to the Deleted tab, and you can restore them if needed.

4. Managing Quotations

To manage the quotations you’ve created and track their status:

Access: Sales → Quotation.

Quotation Management: You will see a list of all quotations, with the following information:

Quotation Name

Total Amount of the quotation

Quotation Status: Pending approval, approved, order created, deleted.

Creation Date and Responsible Person.

PDF File related to the quotation.

Search Quotations: You can search for quotations by customer name, phone number, customer email, or other fields available in the quotation.
