Assigning KPI Targets

1. Setting Up and Assigning KPI Targets

To set up and assign KPI targets, go to the KPI section -> select List -> click Add KPI.

Step 1: Choose the KPI Target

KPI Name: Assign a name for the KPI record (e.g., KPI for the Customer Service Department, KPI for the Sales Department, etc.).

Applicable Position: Select the list of employees in the positions where the KPI targets will be applied.

KPI Targets:

Select Default KPI Template: Shows default templates from the system and any templates created by you.

Add KPI: Create a custom KPI according to your needs.

Step 2: Set Values

(1) Repetition Period: Choose whether to repeat the KPI every month or select specific months for application.

(2) List of Employees: Select the employees who will be assigned this KPI.

(3) KPI Conditions: Set conditions that can apply to each month for KPI targets.

(4) Activate Status: Enable to activate the KPI target.

Step 3: Testing Testing helps assess how well the new KPI targets measure and evaluate employee performance and productivity. This step allows you to compare the KPI achievement before and after the new targets are applied, evaluating the reasonableness and effectiveness of the set targets.

(1) Select the Data Timeframe for Testing.

(2) Collect Data from the KPIs applied to employees.

(3) KPI Percentage Chart: View KPI progress in a visual format.

(4) KPI Targets List: Review the targets applied to employees.

Step 4: Finalization

(1) KPI Target Results (%):

Formula: The percentage is calculated as the average of results related to the specific KPI targets of employees assigned the targets.

(2) Results by Day, Month for Each Employee.

(3) Comparison Chart: Compare the KPI results of individual employees. This chart provides a visual overview to identify employees with the highest KPI performance.

(4) Employee KPI Target List: View in either employee format or KPI target format.

Once all the necessary information is entered, click Complete Setup to finalize the process.

2. Updating KPI Results

For manually entered KPIs (those not automatically tracked by the system), you must update the actual results achieved by employees. To update these results, follow these 4 steps:

Step 1: Select KPI In the KPI list, click on the assigned KPI record.

Step 2: Choose Employee Select the employee whose KPI needs adjustment, then click See details.

Step 3: Update Actual Results For manually entered KPIs, click the Pencil Icon to edit and update the results.

Step 4: Save the Results Once done, click to save the updated data.

3. Finalizing KPI

To finalize the KPI, you must either be the creator of the KPI record or have permissions to view all KPIs and approve them.

The KPI record will be automatically finalized for all employees assigned targets at the end of the last day of the month. After the closing date, if you wish to finalize or recalculate KPIs for an employee, you can manually click Finalize KPI or select individual employees and click Finalize KPI.

4. KPI Reports

In the detailed KPI record view:

(1) Action Section:

Edit: Modify previously set KPIs.

Recalculate KPI: Recalculate the entire record if the information is incorrect.

Download: Download the viewed KPI record.

(2) View Finalized Data:

Off: View current data that is still being processed.

On: View finalized data. If the record is not finalized (including both manual and automatic finalization), the data will appear blank.

(3) Employee KPI List

(4) KPI Percentage Chart

(5) KPI Target List: View in either employee format or KPI target format.

5. Important Notes

For system-tracked default KPIs, the data will be updated every 30 minutes.

The KPI assignment will be automatically finalized at the end of the last day of the month for all employees assigned targets. After the assignment period ends, you can either finalize the KPIs for all employees or go into individual employee records to manually finalize them.
