Questions about Products

Question 1: How can I hide old or unused products on Getfly?

Currently, Getfly does not support the feature to hide products. However, as an alternative, you can delete the product from the system.

Instructions:

Navigate to the product detail screen → Click Delete to remove the product.

Deleted products will appear under the Deleted tab in the product list screen. You can restore them if needed.

Notes:

  • To delete products, your Getfly account must have the appropriate permission.

  • Deleting a product does not affect previously created orders containing that product.

  • When a product is deleted, special characters will be appended to its product code to distinguish it from active products.

  • Deleted products will not be searchable when creating new orders or when filtering/searching by product in orders or customer purchases.

  • If the system uses the Inventory Module:

-Deleted products will no longer appear in the inventory view and cannot be searched by name or code.

-Deleted products will not appear in the Stock In/Out Report.

Question 2: How can I merge duplicate products that already have sales orders on Getfly?

Due to the impact on sales revenue and profit tracking, Getfly does not allow merging products that have existing sales orders.

If the duplicated products were created in error and sales orders have already been generated, but you wish to consolidate inventory under one product, you can proceed as follows:

Case 1: Without using the Inventory Module

Delete one of the duplicate products:

Go to the product detail screen → Click Delete.

Deleted products can be restored later via the Deleted tab in the product list.

Case 2: With the Inventory Module

  • Create an inventory check voucher to adjust the quantities accurately.

  • Create a corresponding stock-in/stock-out voucher based on the inventory check.

When creating the voucher, be sure to input the unit price to enable cost-of-goods calculations

  • Delete the duplicate product as outlined above.

Important: Deleting a product does not remove the related sales orders. However, when viewing the order details, the system may display a warning indicating insufficient permissions or product unavailability.

Question 3: Can we display products in a menu format to quickly select and create orders?

Currently, Getfly does not support a menu-style selection for adding products to an order. To add products, you must click "Add Product" and search for the desired item by name or keyword.

Question 4: What is the purpose of the plus (+) icon at the end of a product row in the Quotation module?

The plus (+) icon allows you to add a new line item under a product, effectively creating sub-items (or components) for that product.

This is used to break down a product into detailed components with individual quantities and pricing, helping to clarify quotations.

Example:

Product: English Course Level 1 Adding sub-items:

  • 1.1 Infrastructure Fee: includes books and uniforms

  • 1.2 Tuition Fee: teacher instruction cost

  • The total quantity and price for the English Course Level 1 will equal the sum of its components.

  • Sub-items like Books and Uniforms under the Infrastructure Fee can also have their own quantities and prices.

Formula for Unit Price of Main Product:

Main Product Unit Price = (Quantity x Unit Price of Sub-item 1 + Quantity x Unit Price of Sub-item 2 + …) ÷ (Total Quantity of all Sub-items)

Example: If a product has two sub-items:

2 items at 150,000 each

10 items at 150,000 each

Then:

Unit Price = (2×150,000 + 10×150,000) ÷ (2+10) = 150,000

  • Sub-items in the quotation will not be linked to the actual sales order.

  • Only two levels of sub-items are supported in the quotation module.

Question 5: How do I create a new product category in Getfly?

  • Creating a product category means adding a Product Group.

  • Go to Settings → CRM Configuration → Product → Product Groups → Click Add New Group

You must decide whether to create a parent category or a subcategory:

+To add a new parent category, leave the parent field blank → enter the group name → click Add.

+To add a subcategory, select the corresponding parent group before entering the name.
