Creating and Managing Employee Profiles
1. Creating an Employee Profile
The HR department is responsible for updating and completing the personnel profiles of all employees.
Basic information such as full name, phone number, department, and position is automatically synced from the User Management section initially configured by the system admin. (See detailed instructions [here]).
Only active employees will be displayed in the Employee Profiles section.
To add or update employee profile details, go to the HRM module → select Employees → click Edit Information.
The employee profile screen includes the following sections:
1.1 Personal Information
In this section, you can complete personal details for the employee, including:
Personal Details: Full name, date of birth, gender, address, marital status
Job Information: Department, position, title, job description
Contact Information: Emergency or secondary contact details
1.2 Employment Contract
To create a contract for an employee, click Add New Contract and fill in the following fields:
(1) Contract Details Contract Name: Enter the appropriate contract name
Contract Type: Probationary or official
Contract Code
Contract Duration
Creation Date: Auto-filled with the actual date of entry
Effective Date and Expiration Date of the contract
(2) Employee and Representative Information Employee Information: Assigned department and employee name
Representative Information: Typically from the Board of Directors with representative's name
(3) Salary & Allowances Employment Type: Full-time or Part-time
Family Deduction Amount
Salary Rate: E.g., 100% for official, 85% for probationary
Salary Grade: Select the grade level applicable to the position
Salary Scale: Choose the corresponding salary scale
Base Salary: Automatically retrieved from the selected salary scale
(4) Allowances Select applicable allowance types previously configured in system settings.
(5) File Upload Upload relevant attachments, such as a scanned copy of the signed contract.
Click Add New to complete the contract creation.
