Questions about Automation

Question 1. How to automatically update customer group and relationship status based on the total value of completed orders?

To segment customers by total order value on Getfly CRM, follow these steps:

  1. Manually filter existing customers to assign them to corresponding customer groups

Existing customers refer to those who have made purchases and meet your segmentation criteria. You only need to filter and assign them to appropriate groups.

Step 1: Create customer groups according to segmentation thresholds Go to Settings ⇒ System Configuration ⇒ CRM Configuration ⇒ Customers ⇒ Customer Groups ⇒ Add New, then enter the group name (e.g., Silver, Gold, VIP, etc.) and click Create.

Step 2: Filter customers based on purchase data and assign them to the corresponding groups Navigate to the Customer List screen ⇒ click Filter ⇒ choose Purchase Information ⇒ select Purchase Status: Purchased ⇒ set a time range ⇒ enter the desired Total Purchase Value (e.g., total value ≥ 500,000,000).

Select the customers from the filtered list ⇒ click Actions ⇒ Customer Group ⇒ Add to Desired Group (e.g., purchased Customers).

  1. Automatically group new customers using Automation

For customers who haven’t purchased or have not yet reached the required purchase value, you can use automation to categorize them.

Step 1: Go to Marketing → Marketing Automation → Create → Develop from scratch

Step 2: Name your automation

Step 3: Choose Condition: Order Payment and Action: Update Relationship & Customer Group

Step 4: In the condition block, specify the order value using “greater than or equal to”

Step 5: In the outcome block, select the desired group and relationship status:

  • Add to group: Keep in current group and add to new group

  • Update group: Remove from current group and assign to new one

Question 2. How to create an automation that adds a new opportunity to a campaign, and assigns the old opportunity owner as the new one?

You can set up an automation to automatically add a new opportunity to a campaign, and assign the same owner from the previous opportunity as the owner of the new one, by following these steps:

Step 1: Go to Getfly → Marketing → Marketing Automation → Create → Build From Scratch

Step 2: Configure the automation blocks as follows:

  • Condition: Based on opportunities and campaigns (e.g., opportunity success/failure, opportunity status updated, or customer added to a campaign)

  • Action: Add new opportunity to a campaign In this step, make sure to select:

+ The new campaign you want to push the opportunity into

+ Opportunity Owner: Select Opportunity Owner (the owner from the previous opportunity)

+ Opportunity Name and Status in the new campaign

  • Give your automation a name and activate it.

Step 3: Test the automation for accuracy

  • Try simulating the conditions to verify whether the automation runs correctly.

  • If the previous opportunity owner is also part of the new campaign: they will become the owner of the new opportunity.

  • If the previous opportunity owner is not part of the new campaign: the new opportunity will have no owner by default.

Question 3. Will uploaded orders on Getfly trigger automation workflows?

Question 4. How to automatically send a message to customers as soon as a new order is created in Getfly?

Step 1: Go to Marketing → Marketing Automation → Add New

Step 2: Create the automation:

  • Condition: New Order Created (e.g., Order Type = Sales Order)

  • Action: Send ZNS (use an appropriate ZNS template)

Link the output of the condition block to the input of the action block.

Step 3: Activate the automation.

Question 5. How to automatically send a birthday email to customers at the beginning of the month in Getfly?

Currently, Getfly does not support an automation to send birthday emails to all customers at the start of the month. However, you can filter customers with birthdays in the current month and send an email campaign manually:

Step 1: Filter customers with birthdays in the current month Go to the Customers module, create a filter: For example, for birthdays in August, enter “08” in the Month field.

Step 2: Send an email to the filtered list Go to Email Marketing, choose the filter you created, and send a batch email to those customers.
